Optimal’s Communications Department provides meeting management,conference planning, and implementation services. As part of these services our staff performs the following tasks:

  • Reserving conference, meeting, or seminar spaces
  • Arranging and participating in site visits of possible venues
  • Assisting with planning and cost estimation of all event-related expenses including, catering and media services (menu planning, A/V, etc.)
  • Working within assigned budgetary guidelines and tracking and reporting event expenses
  • Marketing events through specialized websites
  • Assisting with registration via online and personal administration services
  • Negotiating contracts for:
    • Hotel blocks
    • Transportation
    • Off-site activities
    • Printing
    • Promotional items
    • Special media services
