Optimal’s Communications Department provides meeting management,conference planning, and implementation services. As part of these services our staff performs the following tasks:
- Reserving conference, meeting, or seminar spaces
- Arranging and participating in site visits of possible venues
- Assisting with planning and cost estimation of all event-related expenses including, catering and media services (menu planning, A/V, etc.)
- Working within assigned budgetary guidelines and tracking and reporting event expenses
- Marketing events through specialized websites
- Assisting with registration via online and personal administration services

Negotiating contracts for:
- Hotel blocks
- Transportation
- Off-site activities
- Printing
- Promotional items
- Special media services
